HR Executive - Part Time

Vagabond is seeking to recruit a motivated and ambitious individual to join our team as a Part Time HR Executive.

The Part Time HR Executive will work closely with all staff — both the tour guide and office team — and will report directly to the Group Accounts Manager.

Job Description

Flexible working arrangements. Remote working is possible.

Responsibilities

  • Project Management; oversee the implementation of a new HR software package that will be used across the company.
  • Implement, assist and advise on company policy queries and employee relations issues, complying with legislation and ensuring consistency across the organisation.
  • Respond to all human resources-related inquiries.
  • Maintain employee personnel records.
  • Create and distribute internal communications regarding status changes, benefits or company policies.
  • Manage grievance and disciplinary investigations, as required.
  • Work closely with hiring managers, manage recruitment processes end-to-end, from advertising posts through shortlisting of candidates, interviews, selection and job offers for all departments.
  • Deliver new employee inductions and conduct exit interviews (as well as recommend corrective action, if necessary).
  • Liaise with payroll, as required on any staff pay items linked to recruitment, internal promotions, leavers etc.
  • Maintenance/Implementation of the HR system (entering absence information, new hires, leavers, payroll changes, coding etc.)
  • Extraction and analysis of data from the HR system as required. For example, payroll reports, attendance reports, trend and KPI reports etc.
  • General administration duties relating to HR functions.
  • Produce accurate and professional correspondence, policy documents etc. as required.
  • Ensure HR administration and systems are maintained up to date in a timely and accurate manner.
  • Monitor employee morale and company culture.

Required Skills

  • Demonstrate knowledge of the human resources field

  • Strong analytical and problem-solving skills

  • Excellent written, verbal, and interpersonal communication abilities

Qualifications and Experience Requirements

Bachelor’s degree in human resources, business administration or a related field.

HR Experience: 3 to 5 years.

Our tours come in two distinct styles:

  • 🛶 Vagabond Adventure Tours  - Fast-paced, adrenaline-filled and active.
  • 🌄 Driftwood Journeys of Discovery - A more relaxed pace with an emphasis on culture and sightseeing.

VagaGuides are expected to deliver both experiences to guests.

No matter which tour style you lead, we are passionate about the fantastic experience delivered to our guests, requiring the highest level of dedication and professionalism from all our team.

In return, we invest considerable time and effort into developing people into our guiding roles.

Our customers come from all over the world and across a wide spectrum of ages and backgrounds. But what they have in common is that they are all here to relax, unwind and enjoy Ireland.

Each Vagabond or Driftwood Tour lasts between 5-12 days. It is hard work and you will be away from home, but it is also great fun, a healthy way of life and very rewarding (you also get a great tan).

Plus the pay is OK too. (Season runs from mid-March to the end of October).

Duties include but are not limited to:

  • Preparation of vehicle for trip including
  • Ensure it is clean, has all required kit and equipment
  • Performing and submitting morning and evening checks
  • Ensuring vehicle is kept in a roadworthy condition throughout the tour and timely reporting of defects
  • Safety (including safe driving) and contentment of your groups
  • Excellent all round knowledge of Ireland - history, culture, education, economy and Irish life in general.
  • Embarking guests and their luggage each morning
  • Full delivery of tour information throughout tour
  • Organising activities, walks etc on tour
  • Accompanying customers on walks and at attractions
  • Checking in guests to accommodations at end of each day
  • Ensuring all admin tasks are completed in a timely fashion (e.g., double checking accommodation allocation)
  • Timely reporting of all incidents involving customers or which may impact on the company
  • Cleaning of vehicles to expected standard
  • Cleaning vehicle inside and out
  • Ensuring all vehicle fluids are topped up (fuel, oil, water, additives, coolant and brake fluid)
  • Post tour vehicle checks
  • Other duties as required: These may vary, and activities outside the role of driver-guide would be optional.

Requirements

Class D or D1 Passenger Carrying Vehicle Licence - If you are looking for work for the 2023 and 2024 season, don't yet have a D or D1 licence, but have begun the process, then feel free to apply. (Vagabond will also partially assist financially with the cost obtaining the D1 licence. This support is paid after the successful applicant’s first touring season).

Tourism or touring experience would be an advantage but not essential. Customer service experience is also handy.

A ‘People Person’- Patient, outgoing, independent, with initiative, reliable, punctual, personable. You don’t have to be the life and soul of the party, but good interpersonal skills are a must.

  • Successful candidates will be provided with extensive training including:
  • 4-5 weeks in house training, including
  • Team Training Week (great craic)
  • On the road training (also great craic)
  • Further training, if required:
  • First aid training
  • Manual Handling
  • Lowland Leader or Mountain skills training

Responsibilities and Liabilities of Tourist Guides

As a Tourist Guide you are responsible:

  • Towards the attraction/ city/country/region you guide in
  • To promote it à enthuse your visitors to return. You are an ambassador!
  • Towards the guests: you must respect your guests and their background and relate to their individual intellectual and emotional level. You have a duty of care!
  • Towards sustainability: you must be a role model to your guests and inspire them to behave responsibly towards the environment, communities they visit and to support the local economy.

As a Tourist Guide you are liable:

  • To your tour operator/agency or employer
  • Towards guests: you must ensure that the guests get everything they have paid for.

Established in 1992, the Northern Ireland Tourist Guide Association (NITGA) is a membership body providing representation for qualified Tourist Guides. We are committed to continuing professional development which ensures our members always provide interesting, informative and enjoyable tours.

Who are we?

The Northern Ireland Tourist Guide Association is a not for profit, non-political body established in 1992 to represent the professional tourist guides in the region. Our members speak a range of languages and engage in regular professional development to maintain their skills and knowledge base. Our main purpose is to promote and market our members, and to ensure that tourist guides are recognised as the key ambassadors of our region.

Our Guides Are: Qualified, Professional Tourist Guides who are passionate about the place where they live and work. Northern Ireland Blue Badge Guides and Belfast Green Badge Guide accredited by the Institute of Tourist Guiding (ITG); All Ireland Guides accredited by Fáilte Ireland and RoI Colleges; and Level 3 and Level 4 Guides accredited by Northern Ireland Colleges and the Ulster University. Paddywagon Tours is Ireland’s leading tour company. Each tour is a blend of sightseeing, scenery, leisure time and loads of laughs. Although most of our tours are led by driver- guides, during the peak summer months we also employ (non- driver) tour guides who look after the group while a separate driver drives the coach and looks after logistics.

Our tour guides enjoy industry leading rates of pay and very enjoyable work, meeting people from all over the world and experiencing the best of the Irish summer experience.

These roles would particularly suit current students or anybody who has an interest in working seasonally within the tourism industry during the peak summer months.

  • All applicants must be 18+ years of age & eligible to work in the Republic of Ireland
  • All applicants should be able to commute to Dublin city center on a daily basis
  • All applicants must have a native or bilingual level of English

Available Roles:

We require (non- driver) guides to join our growing team. We are passionate about offering a fantastic experience to our customers and require the highest level of dedication and professionalism from all our team. In return, we spend considerable time and effort developing people into our guiding roles.

Our guests come from all over the world and across a wide spectrum of ages and backgrounds. But they are all here to relax, unwind and enjoy Ireland.

If you are interested in being a tour guide and guiding day tours around Ireland – then we would be interested in hearing from you. It is hard work but is also great fun and very rewarding. Plus the pay is industry leading.

Duties include but are not limited to:

  • Greeting guests each morning
  • Safety and contentment of customers
  • Full delivery of tour information
  • Organising optional activities, picnics, walks and site visits

Other duties: These may vary, and activities outside the role of tour guide would be optional

TourGuidesNI.com (TGNI) is Northern Ireland’s tourist guiding body focusing on quality, training and continuous professional development of its guides.

TGNI’s key aim is to offer visitors to the island of Ireland a warm welcome and to show them the best we have to offer, inspiring, educating and entertaining them along the way. TGNI’s vision is to be an Association whose members, currently 135, are all professionally qualified and skilled to deliver consistently high-quality visitor experiences to tourists throughout the island of Ireland.

TGNI has four categories of membership:

TourguidesNI Blue Card members hold the Level 4 Certificate in Higher Education in Tour Guiding (Validated by Ulster University) or an equivalent Fáilte Ireland QQI6 National Tourist Guide Certification.

TourguidesNI Green Card members, hold the Ofqual* regulated OCN NI Level 3 Certificate in Tour Guiding or an equivalent Fáilte Ireland certificate at Level 3. These members focus primarily, but not exclusively, on moving vehicle commentaries in a local region.

TourguidesNI Yellow Card members hold the Ofqual* regulated OCN NI Level 2 Award in Tour Guiding or an equivalent Fáilte Ireland qualification at Level 2. These members typically guide on a specific Site or a fixed route walking tour.

TourguidesNI Grey Card members are Language Guides, who deliver Tours in a non-English language and who are seeking accreditation through TourguidesNI approved courses.

All TourguidesNI members, who hold valid blue, green, yellow or grey cards carry

£5million Public Liability Insurance.
